When your template has a document, which you have thoroughly shaped, configured, in which you have inserted smart fields, you have the possibility to define the editing rights of the contributors on the document.

💡 Contributors do not have access to template management; this feature is about editing the document when a project/contract is created "in real life".

⚙️ How to do so?

To do this, go to the "Templates" section of the main menu. Then open the chosen template and go to the "Participants" tab of your template (right side of the page).

In the "Projects editing rights" section, you can choose whether or not to lock the editing of the document (direct edits and suggestions) by contributors.

👉 To allow editing and suggestions, thus unlocking the document: check the box. When the box is checked, it is green (see below):

👉 To block editing and suggestions, thus locking the document content, uncheck the box . When the box is unchecked, it is grey (see below) :

💫 What are the consequences?

👉 If you have locked the editing of the document.

Here is what it means:

Contributors participating in the project won't be able to:

  • Make direct edits on the document in draft mode.

  • Make suggestions on the document in negotiation mode (mark-up/review mode)

  • Review suggestions made by the other party in negotiation mode (accept or reject)

Contributors will only be able to fill in the fields of the contract (thanks to the smart fields you have inserted in the template) > only some of them can be filled in by the contributors, which is practical!

Only Administrators (who have access to the contract of course!) will be able to edit and make or review suggestions on the document

👍🏼 An excellent guarantee that documents created from this template will not be modified by mistake internally before being sent to the counterparty!

Go one step further: you have locked the document but you want to leave only one or more defined areas editable?
=> Discover the editable zones.

👉 If you have not locked the document edition

All contributors and managers (who have access to the contract) will have the right and possibility to :

  • fill in the fields of the contract

  • make direct edits to the document (when it is still in draft form)

  • make or review (accept/refuse) suggestions on the document (when it is in negotiation mode)

Go one step further: you have not locked the document but you want to lock only one or more defined editable areas?
=> Discover the editable zones.
